Welcome to Whitetail Suites. These Terms & Conditions apply to reservations and stays at Whitetail Suites and to direct bookings made through WhitetailSuites.com.
By making a direct reservation, completing payment, or occupying a Whitetail Suites property, the person making the reservation ("Guest") acknowledges and agrees to these Terms & Conditions.
Reservations made through Airbnb, Vrbo, or another third-party booking platform may also be subject to that platform's terms, policies, cancellation rules, and payment requirements.

Whitetail Suites provides privately owned cabin accommodations for short-term lodging in the Ohio countryside near Amish Country and the Mohican area.
The primary Guest making the reservation must be at least 18 years of age, unless a different minimum age is stated during booking.
The person making the reservation is responsible for the conduct of all guests and visitors associated with the reservation.
Whitetail Suites reserves the right to verify the identity and age of the primary Guest.
Reservations are subject to availability and are not considered confirmed until all required booking information and payments have been received and a confirmation has been issued.
Guests are responsible for reviewing reservation details before completing a booking, including:
Please notify Whitetail Suites promptly if your confirmation contains an error.
The total reservation price may include nightly rates, applicable lodging and sales taxes, cleaning fees, service charges, or other fees disclosed during booking.
The payment schedule and accepted payment methods will be displayed during the reservation process.
A reservation may be cancelled if required payment is not received by the stated deadline.
Whitetail Suites reserves the right to correct obvious pricing or technical errors occurring during the reservation process. If a material pricing error affects a reservation, we will contact the Guest before proceeding whenever reasonably possible.
Applicable state and local taxes will be collected as required by law.
When a reservation is made through a third-party platform, that platform may collect and remit some or all applicable taxes.
The cancellation policy displayed and accepted at the time of booking applies to the reservation.
Guests should review the cancellation terms carefully before booking.
Refunds, credits, date changes, and cancellations will be handled according to the policy associated with the reservation.
Reservations made through Airbnb, Vrbo, or another booking platform must generally be cancelled or modified through the platform on which the reservation was made.
Weather conditions, changes in personal plans, illness, transportation problems, and similar circumstances do not automatically entitle a Guest to a refund outside the applicable cancellation policy.
Travel insurance is encouraged when guests are concerned about unexpected circumstances affecting their trip.
Check-in begins at 3:00 PM.
Guests may not enter or occupy the cabin before 3:00 PM unless early check-in has been approved by Whitetail Suites.
Before arrival, Guests will receive their cabin assignment, smart-lock access information, and any additional arrival instructions.
Checkout is by 11:00 AM.
Guests must vacate the cabin by 11:00 AM unless late checkout has been approved in advance.
Before leaving, Guests should:
Additional charges may apply when an unauthorized late checkout causes additional cleaning, staffing, or accommodation costs.
Whitetail Suites uses Wi-Fi-enabled smart locks for keyless guest access.
Guests may receive a unique access code for their reservation. Access credentials are intended only for registered Guests and authorized members of their party.
Guests should not share their access code with unauthorized individuals.
Access codes may become active near the scheduled check-in time and expire after checkout.
If a Guest experiences difficulty accessing the cabin, the Guest should contact Whitetail Suites rather than attempting to force or damage the lock or door.
The maximum permitted occupancy for each cabin is the number stated on the applicable listing or reservation.
Only registered Guests and approved visitors may use the property.
Guests may not exceed the stated occupancy limit without prior written approval from Whitetail Suites.
Whitetail Suites is intended for peaceful overnight accommodations.
Parties, large gatherings, receptions, commercial events, or other events are prohibited unless expressly approved in advance by Whitetail Suites.
Guests are responsible for the behavior of their visitors.
Excessive noise, disruptive conduct, or activity that interferes with neighboring guests or surrounding property owners is prohibited.
Guests are expected to respect the peaceful rural setting and neighboring properties.
Please keep music, conversations, televisions, and outdoor activities at reasonable volumes, particularly during nighttime and early-morning hours.
Whitetail Suites reserves the right to address excessive noise or disruptive behavior.
Smoking and vaping are prohibited inside the cabins.
Guests who smoke outdoors must do so responsibly and safely and must properly dispose of smoking materials.
Do not discard cigarette butts or other smoking materials on the property, in the lawn, or near combustible materials.
Additional cleaning or damage charges may apply when indoor smoking or vaping results in odors, residue, burns, or other damage.
Pets are permitted only when allowed by the specific reservation and applicable Whitetail Suites pet policy.
Guests must disclose pets when required during booking and comply with any applicable restrictions or fees.
Service animals will be accommodated as required by applicable law.
Children must be appropriately supervised by a responsible adult.
Whitetail Suites is located in a rural environment that may include decks, stairs, fire pits, uneven terrain, wildlife, roadways, and other natural or property-related conditions.
Parents and guardians are responsible for supervising children throughout their stay.
Each cabin has two designated gravel parking spaces.
Guests must:
Guests are responsible for damage caused by driving or parking outside designated areas.
Whitetail Suites provides an outdoor fire-pit area for guest enjoyment.
Use of the fire pit is at the Guest's responsibility and is subject to weather conditions, local restrictions, and any posted property instructions.
When using the fire pit:
Guests are responsible for damage resulting from negligent or improper use of the fire pit.
Whitetail Suites is located in the Ohio countryside.
Guests may encounter deer, insects, birds, farm animals, wildlife, uneven ground, changing weather, mud, snow, ice, agricultural activity, Amish buggies, farm equipment, and other conditions associated with a rural environment.
Guests should observe wildlife from a safe distance and should not feed, approach, or attempt to handle wild animals.
The presence or absence of wildlife cannot be guaranteed.
Amenities may include, depending on the cabin:
Specific amenities are subject to the description associated with the cabin being reserved.
Wi-Fi is provided as a convenience to Guests.
Because Whitetail Suites is located in a rural area, internet speed, availability, and reliability may occasionally be affected by service-provider outages, weather, equipment problems, network congestion, or circumstances outside our control.
Whitetail Suites does not guarantee uninterrupted internet or streaming availability.
Guests may not use the internet connection for unlawful activity or activity that compromises the security or performance of the network.
Guests may use the cabin's heating and air-conditioning systems in a reasonable manner.
Exterior doors and windows should remain closed while heating or air conditioning is operating.
Guests should not tamper with, disassemble, or attempt to repair HVAC equipment.
Please contact Whitetail Suites if there is a problem with the system.
Guests are expected to treat the cabin, furnishings, amenities, outdoor areas, and surrounding property with reasonable care.
Do not move indoor furniture outdoors or remove property belonging to Whitetail Suites from the cabin.
Guests should promptly report damage, spills, broken items, maintenance concerns, or unsafe conditions.
The primary Guest may be responsible, to the extent permitted by law and the applicable booking agreement, for damage caused by the Guest, members of the Guest's party, or authorized visitors beyond ordinary wear and tear.

Guests are encouraged to report accidental damage promptly. Early communication often allows us to resolve problems quickly.
Please report maintenance issues as soon as reasonably possible.
Whitetail Suites may enter the cabin when reasonably necessary to address an emergency, protect persons or property, perform urgent maintenance, investigate a reported problem, or comply with legal requirements.
When circumstances permit, reasonable efforts will be made to communicate with the Guest before non-emergency entry.
Guests are responsible for their personal belongings.
If an item is left behind, contact Whitetail Suites as soon as possible. We will make reasonable efforts to locate it but cannot guarantee recovery.
Guests may be responsible for shipping, handling, or other costs associated with returning lost property.
Unclaimed items may be disposed of or donated after a reasonable period.
Guests are responsible for securing their vehicles, valuables, and personal belongings.
Whitetail Suites is not responsible for loss, theft, or damage to personal property except to the extent responsibility cannot legally be excluded.
Guests should lock the cabin whenever it is unattended.
Guests should use reasonable care while on the property.
Please immediately report dangerous or unsafe conditions.
In an emergency involving immediate danger, fire, serious injury, or criminal activity, call 911 first, then notify Whitetail Suites when it is safe to do so.
Guests must not disable, remove, cover, or tamper with smoke detectors, carbon-monoxide detectors, fire-safety equipment, locks, or other safety devices.
Guests may not:
Serious or repeated violations of these Terms, applicable law, or posted property rules may result in termination of the stay where permitted by law and the applicable booking agreement.
Depending on the circumstances, additional charges or claims for damages may apply.
No refund is guaranteed when a stay is terminated because of serious Guest misconduct or a material violation of the reservation agreement, subject to applicable law and booking-platform requirements.
Whitetail Suites cannot control weather, utility interruptions, internet-provider outages, road conditions, government actions, natural events, or other circumstances outside our reasonable control.
Guests are responsible for considering weather and travel conditions before and during their trip.
During winter or severe weather, rural roads, driveways, decks, stairs, and outdoor areas may become slippery or difficult to navigate.
By staying at Whitetail Suites, Guests acknowledge that vacation travel and use of a rural property may involve ordinary risks associated with outdoor areas, weather, stairs, decks, fire pits, wildlife, uneven surfaces, and similar conditions.
Guests are expected to exercise reasonable care and follow posted instructions and safety requirements.
Nothing in these Terms is intended to waive or limit rights or responsibilities that cannot legally be waived or limited under applicable law.
We make reasonable efforts to ensure that photographs, descriptions, amenities, and other information accurately represent Whitetail Suites.
Minor changes may occur over time as furnishings, landscaping, equipment, décor, or amenities are maintained, replaced, or improved.
Use of WhitetailSuites.com and information provided in connection with a reservation are also subject to the Whitetail Suites Privacy Policy.
Please review the Privacy Policy for information about how personal information may be collected, used, stored, and shared.
Reservations made through Airbnb, Vrbo, or another third-party platform may be subject to additional terms imposed by that platform.
If a platform's mandatory rules govern a particular payment, cancellation, refund, damage claim, or reservation issue, those requirements may apply to the transaction.
These Terms & Conditions and direct reservations with Whitetail Suites are governed by the laws of the State of Ohio, without regard to conflict-of-law principles, except where applicable law requires otherwise.
Any venue or dispute-resolution provisions adopted by Whitetail Suites should be reviewed by qualified Ohio legal counsel before publication.
If any provision of these Terms & Conditions is determined to be invalid or unenforceable, the remaining provisions will continue in effect to the extent permitted by law.
Whitetail Suites may update these Terms & Conditions from time to time.
The Terms applicable to a reservation will generally be those presented or incorporated into the booking agreement when the reservation is made, except where changes are required by law or agreed upon by the parties.
